Screening & Vulnerable Sector Check Requirements

All team staff are in contact with players at any time - including behind the bench, on the ice, in the dressing room at any other times or locations - need to submit a clear Vulnerable Sector Check (VSC) through the OHF's Screening and Declaration Submission Portal. This includes all coaches, assistant coaches, on-ice staff, trainers, managers, and dressing room supervisors.

The Ontario Screening Submission Portal will open April 1, 2026 for the 2026-27 season.

Highlights and Quick Answers

  • All staff must complete a NEW DECLARATION for the 2026-2027 season - even those that completed a declaration last season.
  • Vulnerable Sector Checks (VSC's) are valid for 3 seasons. VSC's issued in the 2024-25 and 2025-26 seasons are valid.
  • If your VSC was issued for the 2023-2024 season or before, a NEW VSC (Police Record Check) is required before you can upload it to the screening portal.
  • Anyone aged 17 and under will NOT be required to complete screening.
  • Receipts will NOT be accepted for VSCs between April 1 and July 30, 2026.

Important Timing Information

  • Police services typically take 6-8 weeks to process a Vulnerable Sector Check.
  • Anyone requiring a NEW VSC should begin the process as soon as possible.
  • Your VSC must be returned by police services before uploading to the Ontario Screening Submission Portal.

Spring Evaluation Participation

  • Returning team officials approved for the 2025-26 season may participate in Spring Evaluations.
  • Any NEW individuals must complete their VSC Screening and Declaration prior to participation.
  • All participants must be registered in HCR and have valid screening showing on their profile.

Returning Staff – 2026-27 Season

  • If your VSC is from 2024 or 2025 and was approved last season, only a NEW DECLARATION is required.
  • The 2025-26 Declaration expires May 31, 2026.

Returning Staff with 2023 VSC

  • If your VSC was issued in 2023, it expires May 31, 2026.
  • You MUST obtain a NEW VSC (Police Record Check) and complete the online Declaration for 2026-27.
  • Please begin this process immediately to avoid delays.

New Staff

  • All new team officials, on-ice officials, and dressing room monitors must submit a VSC and complete the online Declaration.
  • New individuals must register with RAMP prior to submitting screening.

IF YOU REQUIRE A NEW POLICE RECORD CHECK

Owen Sound Residents

Owen Sound residents must request a records check through Owen Sound Police Services. Follow this link for more information and to start the process:

Residents of OPP-Policed Communities

If you reside in an OPP-policed community (Georgian Bluffs, Meaford, Markdale, Wiarton or others), you will need to pursue your police check through the Ontario Provincial Police.

Volunteer Confirmation Letter

Some police jurisdictions may require you to provide a letter confirming your role as a volunteer and stating why a Vulnerable Sector Check is required.
