All team staff are in contact with players at any time - including behind the bench, on the ice, in the dressing room at any other times or locations - need to submit a clear Vulnerable Sector Check (VSC) through the OHF's Screening and Declaration Submission Portal. This includes all coaches, assistant coaches, on-ice staff, trainers, managers, and dressing room supervisors. 

The online OHF Screening Submission portal is now live for the 2025-26 season.

Once you have reviewed the instructions, click on the START THE PROCESS button to access the Submission Portal.

Highlights and Quick Answers:
  • All staff must complete a NEW DECLARATION for the 2025-2026 season - even those that completed a declaration last season.
  • Vulnerable Sector Checks (VSC's) are valid for 3 seasons. If your VSC was issued in the 2023-24 or 2024-25 seasons, and was uploaded to the OHF last year, only a new declaration should be required.
  • If your VSC was issued for the 2022-2023 season or before, or you did not submit a VSC last season - a new VSC will be required before you can upload it to the screening portal.

Owen Sound Residents:

Owen Sound residents must request a records check through Owen Sound Police Services. Follow this link for more information and to start the process: https://www.owensoundpolice.com/at-your-service/police-record-checks/

 Residents of OPP-Policed Communities:

If you reside in an OPP-policed community (Georgian Bluffs, Meaford, Markdale, Wiarton or others), you will need to pursue your police check through the Ontario Provincial Police. The OPP have a new online request service for Vulnerable Sector Check requests: please click here for OPPP Record Check request portal or call 1-888-310-1122 (toll free, non-emergency line) for more information.

VOLUNTEER CONFIRMATION LETTER:

Some police jurisdictions may require you to provide a letter confirming your role as a volunteer and stating why a Vulnerable Sector Check is required. Please email [email protected] with your legal name and date of birth.
